Grant pipeline

Six stages, each with the failure it is designed to catch.

Stage models are usually presented as progress. The useful version names what goes wrong at each step, because that is what a development team needs to see on a Monday.

01Identified

A funder whose stated priorities genuinely match a programme you already run.

Research

Wishful matching. Most wasted application effort is decided here.

02Qualified

Eligibility confirmed, grant size band known, previous grantees reviewed, cycle dates recorded.

Development lead

Unrecorded eligibility bars found after the concept note is written.

03Cultivating

A relationship exists. Introductory call done, questions answered, a programme officer knows your name.

Named relationship owner

Going quiet between cycles, then arriving only when you need money.

04Applied

Submitted, with the version sent, the ask amount, and the decision date on the record.

Development lead

Nobody tracking the decision date, so a follow-up never happens.

05Awarded or declined

Outcome recorded with the reason where one was given, and the next cycle diarised either way.

Major gift cultivation

Supporters crossing the cultivation threshold appear as prospects with their history attached. A monthly donor of nine years and a first-time large gift are not the same prospect, and the pipeline knows the difference.

    Gift or pledge agreed, payment schedule recorded, recognition preferences captured.

  6. Stewarded06

    Reporting cadence agreed and diarised. The next ask is not the next contact.

The rule that matters most

A supporter in the stewarded stage should hear from you at least twice before they hear an ask.

HOPEAQUE tracks contact type, not just contact count, and will hold an ask suggestion back if the only recorded interactions since the last gift were solicitations. This is the single behaviour that separates cultivation from collection.

Deadline visibility
Application closes, decision dates, milestone dates and report dates in one list, filtered to what belongs to you rather than everything belonging to everyone.
Stage ageing
How long each relationship has sat in its current stage. A prospect stuck in cultivating for eleven months is the most common silent failure in a grant pipeline.
Owner load
How many active relationships each person carries, so cultivation is not quietly concentrated on one overloaded development lead.
Cycle memory
Declined applications keep the funder's cycle dates and the stated reason, and reappear at the right point in the next cycle rather than being rediscovered.
Board-ready view
A read-only summary of the pipeline by stage and expected value, with the assumptions shown, suitable for a trustee meeting without a separate deck.

On expected value

Pipeline value is the sum of asks multiplied by your own historical conversion at each stage, and we show the conversion rate next to the number every time. Forecasts built on optimistic weighting have embarrassed more finance committees than any other number in fundraising, so ours refuses to appear without its working.
