Donor Engine · 03

Appeal performance you can act on while the appeal is still live.

Campaign reporting usually arrives after the campaign, which makes it history rather than management. HOPEAQUE measures response by segment and channel as gifts land, so the second wave of an appeal can be different from the first.

What gets measured

Four measurements, and the first one changes how you read the rest.

01

Response, by segment rather than in aggregate

A campaign total tells you almost nothing. The same appeal can carry a 9% response among monthly donors and 0.4% among a purchased list, and the average will hide both. HOPEAQUE splits every appeal by the segments you actually work with.

02

Channel effectiveness, per segment

Email works on the segment that reads email. Your older trust donors may answer a printed letter and nothing else. Channel lift is measured inside each segment, not across the whole file, so you stop paying for the channel that raised nothing.

03

Cost against what was raised

Print, postage, gateway fees and paid promotion recorded against the appeal that spent them. Cost per rupee raised for each channel, and the honest version of the number for the ones that lost money.

04

Mid-campaign, not post-mortem

The figures update while the appeal is live. If the monthly-donor segment has not moved by day four, there is still time to change the follow-up rather than write the learning into next year's plan.

Worked example

A monsoon relief appeal, read four days in.

The aggregate looks acceptable. The breakdown says the appeal is being carried entirely by people who already give monthly, and that the reactivation segment is burning the print budget.

What HOPEAQUE suggests on day four

  • Hold the second print run to the lapsed segment; the response does not cover the postage
  • Send the annual-donor letter recipients a short email follow-up, since email under-performed only because it went first
  • Move the volunteer segment to a personal ask from their shift coordinator rather than the general appeal

What it feeds back into the record

  • Every non-response is a signal on that supporter's engagement score, not just a blank cell
  • Three consecutive silences moves a supporter toward the drifting band
  • Supporters who gave to a relief appeal are tagged, so the next relief appeal starts warmer

On reactivation appeals

The lapsed segment losing money is not automatically a reason to stop writing to lapsed donors. It is a reason to stop reaching them with an expensive channel and a general appeal. Reactivation works when it is specific and cheap, which is exactly what the drifting list from the scoring engine is for.

Practical detail

How appeals are set up and attributed.

Attribution rules
Gifts attach to an appeal by coded link, reply reference, or manual assignment for offline gifts. A gift that arrives without a code goes to a review list instead of silently inflating your best-performing channel.
Segments
Built from record data and score bands: monthly donors, annual donors by band, active volunteers, lapsed by length, event attendees, first-time givers from a specific campaign.
Multi-channel appeals
One appeal can carry email, printed letter, messaging and a landing page. Each carries its own cost and response, and the appeal total is the sum rather than a guess.
Recurring campaigns
Annual appeals compare against their own previous runs, so a 3.2% response reads as up or down rather than as a floating number.
Payment platform integration
Gateway and donation-platform exports import against the appeal, including fees, so cost per rupee raised includes the transaction cost rather than ignoring it.

An appeal average is the arithmetic mean of one thing working and four things failing.

Split it while the appeal is still running and one of those four becomes fixable.
